Konos provides operational optimisation, Business DNA discovery, process documentation, playbook development and related consulting services. In providing these services, we may collect information about a client’s business, people, systems, processes, documents, operations, risks and improvement opportunities.

4. Why we collect information

Konos collects and uses information to:

  • respond to enquiries

  • assess whether Konos is suitable for a client’s needs

  • provide consulting, discovery, documentation and playbook services

  • understand the client’s Business DNA, operations, workflows and priorities

  • prepare internal discovery briefs

  • create SOPs, checklists, playbook components and related deliverables

  • review, improve and refine AI-assisted drafts

  • manage Client Hub access and service delivery

  • communicate with clients

  • improve the Konos system, methodology and services

  • maintain security, records and auditability

  • meet legal, regulatory, insurance and administrative obligations

5. Use of AI-assisted tools

Konos may use AI-assisted tools to help analyse client inputs and prepare draft operational outputs, such as SOPs, process summaries, checklists, roadmap suggestions and playbook components.

AI-assisted outputs are not treated as final by default. Konos reviews, edits and approves outputs before they are provided to clients.

Konos does not intend to use client confidential information to train public AI models. Where external AI or cloud service providers are used, Konos aims to use them in a controlled and responsible way, consistent with the purpose of providing services to the client.

Clients should not upload highly sensitive personal, medical, legal, financial, regulated, security-critical or commercially extreme-risk information unless this has been specifically discussed and agreed with Konos.

6. Uploaded documents and client materials

Clients may provide documents, files and business materials through the Client Hub or directly to Konos.

Konos uses uploaded materials to understand the client’s current operating environment and to prepare relevant outputs. Uploaded documents may be reviewed manually and/or processed using technology-assisted tools to extract relevant operational context.

Konos will take reasonable steps to protect uploaded materials from unauthorised access, disclosure, misuse or loss.

7. Confidentiality

Konos understands that client materials may include confidential business information.

Konos will treat client information as confidential and will not intentionally disclose client confidential information to third parties except:

  • where required to provide the services

  • where the client has authorised disclosure

  • to trusted service providers supporting Konos operations

  • where required by law, regulation, insurer, professional adviser or legal process

  • where necessary to protect Konos, its clients, users or systems

8. Disclosure to service providers

Konos may use trusted third-party service providers to support website hosting, database hosting, file storage, email, automation, analytics, security, AI processing, document generation, communications and business administration.

These providers may process or store information on Konos’s behalf. Konos aims to use reputable providers and take reasonable steps to ensure information is handled appropriately.

Some providers may store or process data outside Australia. Where this occurs, Konos will take reasonable steps to ensure the information is handled consistently with this Privacy Policy and applicable privacy obligations.

Konos keeps information for as long as reasonably required to provide services, manage records, improve the Konos system, resolve disputes, comply with legal obligations and maintain business continuity.

Where information is no longer required, Konos may delete, de-identify or archive it.

Clients may request deletion of their information, subject to any legal, contractual, operational or record-keeping requirements.

You may request access to personal information Konos holds about you. You may also ask Konos to correct information that is inaccurate, incomplete or out of date.
